2. Information We Collect
Website visitors
When you visit our website we automatically collect basic technical information such as your IP address, browser type, device type, the pages you view, and referring URLs. If you fill in a contact form or request a quote, we also collect the contact details you provide (typically name, business name, email, phone, and a description of your inquiry).
Business clients and prospects
When you engage us for MSP services, or when we evaluate a potential engagement, we collect business-contact information for your authorized representatives, billing information, and the technical information necessary to deliver the services (for example, network inventories, device configurations, ticket histories, and similar operational records).
Internal SMS notification recipients (Novatech engineers)
We operate a private SMS notification program that delivers operational alerts from our monitoring systems to Novatech Systems LLC engineering staff. Participation in this program is limited to Novatech Systems LLC employees and contractors who have signed an employment agreement and our IT Acceptable Use Policy, which together include written consent to receive these alerts at the mobile number they provide to us during onboarding. We do not enroll members of the public, clients, or unsolicited third parties in this program.

3. How We Use Information

- Deliver, support, and invoice MSP services under our customer agreements.

4. SMS Notification Program Details
We use the toll-free number +1 (877) 748-5309, provisioned through Twilio Inc., to deliver SMS notifications to Novatech Systems LLC engineering staff. The following terms apply to that program:
- Recipients: Novatech Systems LLC employees and contractors only. We do not market to consumers via SMS.
- Content: short operational alerts such as “Windows IIS service not running on <host>” or “Client server unresponsive at <site>.”
- Frequency: variable; tied to monitoring events. Typical volume is under a few messages per recipient per day, but high-incident days may produce more.
- Opt-in: written consent obtained at hire, via the Employment Agreement and IT Acceptable Use Policy / SMS Notification Consent acknowledgement.
- Opt-out: any recipient may reply STOP to the toll-free number at any time to be removed; recipients may also withdraw consent in writing to the addresses above. STOP requests are honored immediately and the recipient will receive a single confirmation message.
- Help: recipients may reply HELP for contact information.
- Carrier charges: standard message and data rates may apply from the recipient’s mobile carrier. Novatech does not charge for these messages.
- Mobile information is never sold, rented, shared with affiliates for their marketing, or shared with third parties for promotional purposes. The phone numbers used in this program are used solely to deliver the alerts described above.
5. How We Share Information
We do not sell personal information. We share information only as needed to operate our business and provide our services:
- Service providers and subprocessors: vendors that help us deliver our services (for example, Twilio for SMS and voice; remote monitoring and management platforms; backup, antivirus, and cloud-hosting providers; payment processors; accounting providers). These providers are bound by contract to use the information only to perform services for us.
- Clients: when we work on systems we manage for a client, the client receives the operational records associated with their own environment.
- Legal and safety: we may disclose information when required by law, subpoena, or court order, or where we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.
- Business transfers: in connection with a merger, sale, or financing, information may be transferred to the successor entity subject to this Privacy Policy.
6. How Long We Keep Information
We retain information only as long as we need it for the purposes described in this policy or to comply with applicable laws (for example, tax records). Operational logs from managed systems are retained according to the retention period stated in the applicable customer agreement. Mobile numbers used in the internal SMS program are retained for the duration of employment plus a short administrative period, then deleted.

We use commercially reasonable administrative, technical, and physical safeguards to protect the information we collect. These include access controls, encryption in transit, monitored network boundaries, and security awareness training for our staff. No system is perfectly secure; if we become aware of a security incident that affects your information, we will notify you in accordance with applicable law.
